CRS Greece, with the support of UNHCR, is implementing the “Adama” project linking asylum seekers and beneficiaries of international protection with job opportunities. To facilitate jobseekers and employers (collectively “Users”) CRS has created this website/platform adamajobcenter.crs.org (“Website” or “Platform”) known as Adama Job Center.

We are committed to the protection of your personal data when using our platform therefore, we take the necessary and proportionate measures to protect, secure and maintain the integrity and availability of your data. While processing your data, we comply with the General Data Protection Regulation (GDPR) , the national law 4624/2019 & the decisions and guidelines issued by the Data Protection Authorities, the European Data Protection Board and the European Data Protection Supervisor as well as the EU E-Privacy Directive, as incorporated in the national legislation.

Users are encouraged to read the Platform’s Privacy Policy carefully.

  1. Data Controller

The organization under the name “Catholic Relief Services Greece”, based at Solonos 75, Athens, Greece P.C. 10679 (hereinafter “CRS” or “We”), is the administrator of the website adamajobcenter.crs.org  and data controller for the personal data processed via the website and for the services it offers.

CRS is a Partner agency of the Office of the United Nations High Commissioner for Refugees (UNHCR) in Greece, and the Adama Job website has been developed in partnership with UNHCR.

  1. Data we collect from the Users

Users, either jobseekers or employers have to create a profile in the platform in order to fill an application or post a job offering. We collect & process the following personal and non-personal data that the Users provide us with through the Website, as shown below according to the respective User category:

  1. Data we collect by automated means

When you use our website, your device automatically provides us with data so that we can serve and tailor our response to you. The type of information we collect through automated means generally includes technical information about your device, such as the IP address or other device ID, the type of device you are using, and the version of the operating system. The data we collect may also include usage information and statistics about your interaction with the website.

  1. Purpose & Lawful Basis for personal data processing

The processing of personal data of Users is subject to the General Data Protection Regulation (EU 2016/679), and of the Greek law 4624/2019, and the decisions and guidelines issued by the Data Protection Authorities, the European Data Protection Board and the European Data Protection Supervisor as well as the EU E-Privacy Directive, as incorporated in the national legislation. The processing of personal data undertaken by CRS is necessary in order to take steps, at the request of Users, prior to entering into an employment contract.

We process data we collect through our website for the following purposes:

  • Introduce jobseekers to relevant job opportunities and enable them to apply for these opportunities.
  • Introduce employers to jobseekers who may align with their talent needs.
  • Enable CRS/partner staff to contact jobseekers who have been selected for an interview for a job they have applied for, prepare them for that interview and provide all employability and integration related services available at the Adama center
  • To provide relevant support, such as contacting them when an employer has selected them for an interview, helping prepare for the interview, and providing other relevant employability or integration support

CRS and UNHCR may also produce anonymized data linked to the job matching platform for monitoring, advocacy or other purposes.

  1. Who receives and processes your data

Your data may need to become available to CRS Personnel as described below, as well as to our website maintenance technicians, who are external partners. All parties are bound by the obligation of confidentiality and due process.

We may also send your data to third parties -data processors, when necessary for the sole purpose of providing our Services to you. We share your data with:

  • Caritas Hellas, Heraklion Development Agency, METAdrasi, SolidarityNow, INTERSOS Hellas, Intercultural Center for Social Integration “Academia”, International Rescue Committee (IRC) Hellas, which will be helping us as “Partners” to communicate with jobseekers and employers throughout the project,
  • CRS USCCB, which hosts in its databases the data of the Project
  • Microsoft, which provides us of MS Office software and OneDrive database
  • CommCare, which is a software platform for data collection and is used for storing and processing your data with our Project Partners, as mentioned above.

The above-mentioned parties operate as data processors and are bound by the obligation of compliance with the rules of confidentiality and lawful processing as well as specific data processing agreements in place.

  • UNHCR, as a third-party recipient may have access to the Job Platform which operates under CRS.  However, only subject to your consent as data subject, your personal data will be disclosed to UNHCR, in order to support Jobseekers as need be, through provision of targeted services on the fulfilment of administrative requirements (eg issuance of a tax registry number), or to enable systemic interventions, or to monitor and support the process of integration.

On the United Nations High Commissioner for Refugees (UNHCR):

  • UNHCR supported CRS in developing the (Adama Job Center) and is the owner of the platform. This does not mean UNHCR has automatic access to your personal data stored on the platform.
  • As an international organization mandated under the 1951 Convention to protect refugees, UNHCR has the responsibility to monitor human rights of refugees, including access to employment and process of local integration. Therefore, CRS shares with UNHCR statistical data relating to the refugee job matching service.
  • UNHCR Greece, and its Partner agencies, provide parallel services that may help you enjoy your legal rights as refugees or asylum seekers in Greece, including in accessing employment [see help.unhcr.org/greece]. If necessary, CRS may offer to refer you to these services of UNHCR. If you consent to the referral, your personal data will be shared with UNHCR.
  • When UNHCR processes your personal data for one of the above-mentioned reasons, it is processed in line with its Policy on the Protection of Personal Data of Persons of Concern to UNHCR, and you will enjoy data subject rights as per the said policy.

Moreover, according to the User category you belong to, we share your data as described below:

A. Jobseekers

When you apply for a job posting we initially share limited data with your potential employer. This limited data includes data necessary for the assessment (prior experience, education etc.) but it DOES NOT include name, phone number, e-mail address, or address.  The employer may view and download this data for the purposes of selection for an interview.

Your contact information will be provided to an employer only after the said employer has specifically requested for an interview with you.

In case you have provided a CV document, while this possibility was still available, beware of the data you share through the document since it is available for viewing and downloading. No employers can see any data of yours if you have not applied for a specific job posting.

For this processing, the Employer acts as a separate Data Controller and shall comply with the provisions of the applicable legislation.  The Employer may process this data for a limited time and exclusively for the purpose of the Services abiding by this Privacy Policy and our Terms of Use. CRS is not responsible for the compliance of any Employer with the applicable data protection legislation and especially the GDPR.

Moreover, CRS staff will have admin access to the website’s database, where they can view and download full jobseeker profile information, plus information on a jobseeker’s application status. CRS and its Partners’ (as described above) staff serve as the liaison between employer and jobseeker for setting up the interview and use the data to reach out to jobseekers to provide relevant support, such as contacting them when an employer has selected them for an interview, helping prepare for the interview, and providing other relevant employability or integration support if needed.

B. Employers

Employers’ data (name & contact information of representative) will be available to CRS/partner staff that will complete the vetting procedure, confirming that you are a registered business with a trusted reputation and that will serve as the liaison between you and the jobseeker you have selected for one of your postings.  The employer profile and employer job postings (non-personal data) will be available on the portal, which is publicly accessible.

Please note that your personal data may be disclosed, in any case where we are required to do so under applicable law or when necessary for the purposes of compliance with our legal obligations or orders from the relevant police, administrative, public, and judicial authorities.

  1. Data Retention

CRS will retain data collected through the website throughout the implementation of the Adama project in partnership with UNHCR.

In case you exercise your right of erasure, we shall process it immediately according to the applicable legislation and its restrictions. We inform you that backup copies are retained in the database of the web hosting provider for 90 days before being permanently deleted.

When the entire Adama project stops and/or UNHCR decides to continue the operating of the portal through other means, e.g., with another partner NGO, CRS will inform you in advance. You will be offered the opportunity to consent to the transfer of your data to UNHCR in case you wish to continue availing yourself of services provided in this context by UNHCR or another partner NGO. CRS will provide your data to UNHCR and will no longer hold any copies of them. In this case UNHCR’s Data Protection Policy will apply and you will exercise your rights accordingly. UNHCR’s Policy on the Protection of Personal Data of Persons of Concern to UNHCR is available here. You can equally exercise your right to withdraw and/or to erasure.

We may at any time use project-related anonymized data for reporting purposes.

For the duration of the retention of the information collected through cookies, please be informed by the Cookies Policy.

  1. Contact the website

The communication with our website is available through the contact form that is available or via email at adamajobcenter@crs.org.

Only our authorized personnel/ partner’s personnel, who is bound by confidentiality clauses or by a regulatory obligation of confidentiality, have access to the messages we receive on our platform.

We do not forward messages to third parties which we receive on our platform without the explicit consent of the sender. Exceptions to the above, are cases in which forwarding to third parties or not deleting the emails we receive, is necessary to comply with our obligations arising from the law or to establish, exercise or support legal claims.

Our e-mail services are provided by CRS based in the United States of America.

  1. Technical & Organizational Measures of the Website

Our website uses an encryption system (TSL) to ensure greater security during your navigation.

We also work with the Website’s private server service provider, CRS USCCB, to ensure that your personal data is protected. The servers are located in Germany. Specific contractual obligations have also been taken up to ensure an adequate level of data protection.

Moreover, access to data is graded, based on the position and the duties of the employees/associates and is limited to the data which is necessary for the processing purposes they have undertaken.

You have the right to receive confirmation from us as to whether or not your personal data is being processed and, if so, you have the right to access your personal data in a concise, comprehensible, transparent and easily accessible form.

You can request and we will ensure that without undue delay we will correct inaccurate or incomplete personal data, including via a supplementary statement.
Right to erasure
You have the right to ask us to delete the personal data that concern you, without undue delay and we will proceed with the deletion, under the conditions set by the law.
Right to processing limitation
You have the right to ask us to limit processing activities to specific purposes only, subject to the conditions set by the law.
Right to object
You have the right to object, at any time and for reasons related to your particular situation, to the processing of personal data concerning you. We will no longer process personal data unless there are compelling and legitimate reasons for processing that override your interests, rights and freedoms or to establish, exercise or uphold legal claims.
Right to data portability
You have the right to receive the personal data concerning you, which you have provided us with, in a structured, commonly used and machine-readable format, as well as the right to request the transfer of such data to another processor without objection from us under the conditions set by the law.
Right to human interference
You have the right to not be subject to a decision made solely on the basis of automated processing, including profiling, which produces legal effects that concern you or significantly affect you in a similar way.

We will respond to your request within thirty (30) days of receipt. In the event that an extension of the above deadline is required for the investigation and / or processing of your request, we will inform you, explaining the reasons why the extension of the deadline is necessary.

In any case, if you feel that the protection of your personal data has been violated in any way, under the responsibility of CRS Greece, you have the right to file a complaint to the Hellenic Personal Data Protection Authority (www.dpa.gr ). For the Authority’s jurisdiction and the way of submitting a complaint, you can visit its website where there is detailed information.

Complaints can be also addressed to UNHCR (greatbo@unhcr.org) or the UNHCR Inspector General’s Office (inspector@unhcr.org).

  1. Modification of this Privacy Policy

We may make changes to this Policy from time to time. We may make these modifications for a variety of reasons, for example to reflect changes or requirements arising from the law, new features or changes in the Project’s practices. The latest version will be published in the relevant place on the website. You should check often to find the latest version. The latest version is the applicable one. If the changes involve significant ones that affect your rights or obligations, we will notify you in advance via reasonable means, which may include notice through the Website or by email. If you continue to use the Services after the changes take effect, you agree to the revised policy.
